Event Description & Location
On April 25th, the Seattle and Bellevue 2030 Districts will come together as a community at the Embassy Suites in Pioneer Square, to recognize the 2024 Vision Awards winners, connect, and raise critical funds. This is a great event to meet building owners, city officials, and sustainability leaders who are committed to reducing carbon, energy, and water consumption in our community.
Volunteer Roles
Setup Group: 2:00 – 5:00 PM
o Assist with setting up silent and live auction displays, setting up registration table, placing signage, etc.
- Must be able to lift 20 lbs.
Registration Group: 5:00 – 7:30 PM
o Role 1 – Computer Registration: Greet guests and register them in event software. Collect missing information and get bidder packet to guest. Explain auction progress.
- Must be 21+ and ideally bring own computer.
o Role 2 – Packet Runner: Assist in registering guests, handing out packets, and providing seating info.
- Must be able to stand for whole time.
Raffle Seller Group: 5:00 – 7:30 PM
o Sell raffle tickets during reception. Must be comfortable and confident in approaching guests and talking about the raffle item.
Auction Support Group: 6:00 – 9:30 PM
o Role 1 – Recorder: Sit at recording table near stage and record bid numbers as the auctioneer calls them out. Fast pace, good hearing, legible handwriting needed.
- Must be 21+
o Role 2 – Spotter: Stand in designated place in the room and alert the auctioneer to the bids. Meet with auctioneer beforehand. High-energy and can read nonverbal cues.
- Must be able to stand for whole time.
Check-Out Group: 7:00 – 10:00 PM
o Assist with closing silent and live auction, packing up items, and distributing auction items to guest when they check-out.
Clean Up Group: 8:00 – 10:00 PM
o Assist with removing leftover items (centerpieces, signage).
Other Details
Volunteers are welcome (and encouraged!) to sign up for multiple roles that do not have an overlap in timing. For example, you can volunteer for Setup AND as a Raffle Seller.
